Privacy Policy

Your résumé is personal, and so is the information behind it. This policy explains, in plain language, exactly what we hold and why. In short: your facts are yours, we never sell them, and you can export or delete everything at any time.
Who we are
ResumeProofed is operated by SpectreLabs Pty Ltd ("we", "us", "our"), based in Australia. This policy explains what personal information we collect when you use ResumeProofed, why we collect it, who we share it with, and the choices you have. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect
Account information: your email address, your name if you provide it, and how you signed in (a one-time email link or Google). We do not store passwords, because we do not use them.
Your master profile: the career facts you choose to enter or import — roles, dates, responsibilities, education, certifications and contact details. This is personal information you provide deliberately, and it is the material the product tailors from.
Job descriptions and generated documents: the job ads you paste, the evidence answers you give, and the résumés and cover letters generated for you, saved to your application history so you can reopen them.
Billing information: if you subscribe, your plan and subscription status. Card details are entered on Stripe's hosted checkout and are held by Stripe, not by us — we never see or store your card number.
Usage records: a count of the generations you run, so we can show your remaining quota and operate the service.
Waitlist email: if you join the waitlist before launch, we store only that email address and the date.
Technical data: standard request information (such as IP address) used to deliver the service securely and prevent abuse. We do not build advertising profiles and we do not use third-party advertising trackers.
Why we use it
To provide the core service: storing your locked facts and generating tailored, truth-checked documents from them.
To operate your account: signing you in, showing your usage and plan, and handling your subscription.
To keep the service secure and prevent abuse, including a bot-protection challenge on sign-in and the waitlist.
To contact you about your account or the service — for example, a sign-in link, or an important service notice. We will not send you marketing you did not ask for.
Who we share it with
We do not sell your personal information, and we never will.
We use a small number of trusted service providers to run the product, and share only what each needs to do its job:
OpenAI — processes the job description and your relevant facts to generate your documents. OpenAI states that data sent through its API is not used to train its models. We send only what is needed for the generation you requested.
Stripe — processes payments and holds your card details securely; we receive only your plan and subscription status.
Cloudflare — hosts the service and its database, and provides the bot-protection challenge.
Resend — delivers transactional email such as your sign-in link.
We may disclose information if required by law, or to protect the rights, safety or property of our users or ourselves. If we are ever involved in a business transfer, we will handle your information consistently with this policy and tell you of any material change.
Where your data is stored
Your data is stored in our Cloudflare database. Some of our providers, including OpenAI and Stripe, may process data outside Australia. By using the service you consent to this processing. We take reasonable steps to work only with providers that maintain appropriate security and privacy standards.
How long we keep it
We keep your account data for as long as your account exists. If you cancel a paid plan, your data is retained for up to 12 months so you can return for your next job search without starting over, unless you delete it sooner.
You can delete your account at any time from your account page. Deletion is permanent and immediate: it removes your profile, saved applications, usage records and sign-in details, and cancels any active subscription. Some records may persist briefly in encrypted backups before rotating out, and we may retain minimal billing records where law requires.
Your rights and choices
Access and export: you can download everything you own — your profile, version history and saved applications — as a file from your account page at any time.
Correction: you can edit your master profile whenever you like; every change is versioned.
Deletion: you can permanently delete your account, as described above.
You also have rights under the Australian Privacy Principles to access and seek correction of the personal information we hold about you. To make a request or raise a concern, contact us at support@resumeproofed.com. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
Security
We take reasonable technical and organisational measures to protect your information: encrypted connections, no stored passwords, card data handled only by Stripe, and access scoped so one account cannot reach another's data. No online service can promise perfect security, but protecting the personal information you trust us with is central to how the product is built.
Children
ResumeProofed is intended for people in the workforce and is not directed at children under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy as the product evolves. If we make a material change, we will update the date below and, where appropriate, notify you. Continued use after a change means you accept the updated policy.
